MARITIME OPERATIONS ASSISTANT, LYSAKER, NORWAY

The TECO Chemicals office in Lysaker, Norway is in need of a capable Marine Operations Assistant to join the team at our global headquarters.

In this role, the desired candidate will perform a challenging yet rewarding commercial operations service function in international shipping. You will be an integral member of the team being equally proactive, efficient, structured and flexible. You will have the opportunity to deal across countries, cultures, languages and time zones managing close dialogues with stakeholders worldwide, performing a variety of tasks. The ideal candidate will:
• Handle the supply of a variety of products to different vessel types in all segments, to ports, terminals and areas, mostly in the western hemisphere
• Manage a wide range of task across the value chain; from handling incoming requests via quotes to following up and securing deliveries
• Be in direct contact with clients, shipowners, managers, chemical partners, logistic partners and agents involved in our sales and operations functions
• Have a high degree of responsibility individually, with colleagues, locally and with our offices abroad to serve and secure sales and deliveries

Key Tasks and Responsibilities:
• Providing clients with quotes from direct inquiries, purchase portals and proactive exchanges with the worldwide sales team.
• Manage deliveries in Europe and North America from direct sales and full-service handling of operations.
• Contact with clients, from quote via order confirmation to invoicing – ensuring client satisfaction.
• Purchase and contact with suppliers and agents for delivery – securing our ability to serve efficiently and safely.
• Processing key administrative paperwork: Purchase Orders, Delivery Orders and Invoices
• Ensuring ERP and CRM system files are updated consistently.
• Prompt correspondence with clients through all communication channels.
• Contribute to the maintenance of online and social media content in collaboration with the Marketing team.

Qualifications:
• Bachelor’s Degree
• Experience in operations, commercial, technical or service aspects of the maritime industry and servicing of clients and vessels preferred
• Background in maritime logistics with a commercial focus
• Admin, ERP, CRM system experience
• Fluent in English, verbal and written
